Lakewood Alumni Foundation Executive Director

The Lakewood Alumni Foundation (LAF) is accepting applications for the position of a part-time Executive Director, to begin on January 1, 2014. The Executive Director is responsible for the overall management and execution of the LAF mission and maintenance and growth of its $1.5+ million assets. The duties will include marketing, fundraising, prudent financial management, and maintenance of stakeholder relations with alumni, donors, school administration, faculty, and the Lakewood community. The candidate must have a proven track record of fundraising, management, and marketing successes.

Position Structure: Under the direction of the Board of Trustees as stated in Article VI in the Code of Regulations of the Lakewood Alumni Foundation, the Executive Director is an employee of the Lakewood Alumni Foundation.

Basic Position Function: The Executive Director has authorities delegated by the Voting Members/Trustees and deemed appropriate including the initiation and coordination of fundraising, marketing, and community relations activities for the Lakewood Alumni Foundation (LAF). This position safeguards and protects the organization’s financial assets while ensuring compliance with board directives, applicable donors, and local, Federal, and State of Ohio requirements. This position is also provided parameters by the Board of Trustees with respect to “freedom to act” where immediate decisions are required. Board approval follows when necessary.

Primary Responsibilities

Provide leadership, cultivate current and potential LAF contributors, coordinate fundraising events, and administer the day-to-day activities of the LAF office, Ranger Shop, and archives. Apply and obtain grants and funds that meet the needs of the LAF and Lakewood City Schools. Coordinate with legal advisors to finalize agreement terms for endowment funds, including receipt and expenditure of funds.

Design and execute annual budget, including fundraising goals, general fund and endowment fund distributions, and expenditures. Oversee daily budgetary activities impacting the general and endowment funds. Maintain close contact with accountant to manage cash flow and ensure timely financial reporting to the Board.

Maintain regular contact with endowment fund donors by distributing annual financial reports of their funds and forwarding personal communications from faculty and students they have supported. Acknowledge all donor 501(c)(3) contributions in writing for state/federal income tax purposes. Oversee production of an annual report of fundraising activities. Maintain current database of alumni, contributors, and LAF Trustees.

Assist in facilitating class reunion activities, produce reunion mailings, participate in alumni events as the ambassador of the LAF, and communicate activities of LAF, the schools, and alumni through an annual printed newsletter, monthly e-newsletter, and media outlets. Oversee the selection process related to the Lakewood Halls of Fame and college scholarship program Manage endowment-related activities, including the instrument buying program, music lesson scholarships, student awards, and senior scholarships.

Manage all governance activities for LAF and serve as main liaison with the Board of Trustees. Attend and provide necessary documents in advance of all regularly scheduled LAF Board of Trustee and Executive Committee meetings, including subjects and programs requiring Board involvement and/or approval.

Oversee all human resource management activities of staff, including but not limited to, performance evaluations, developing position descriptions, establishing goals, recommending to the board equitable compensation programs, and applying board-approved employee policies and benefits in accordance with federal and state requirements.

Serve as a liaison between donors, Lakewood Board of Education and staff, Lakewood City Schools administration and staff, alumni, students, city of Lakewood administration, media, and suppliers regarding matters affecting the LAF. Maintain relationship with Lakewood City Schools top administration through regular meetings and consultation.

Recruiting Requirements:

1. Previous Work Experience Requirements: A minimum of five years experience in operational and financial management, marketing, fundraising, membership, or related areas. A candidate with extensive non-profit experience is preferred.

2. Education, Special Skills, Knowledge and Other Requirements:

Education: A minimum of an undergraduate degree from a four year college is required.

Special Skills and/or Knowledge: Possess fundraising and marketing skills with knowledge of brand building strategies and market research techniques. Comprehend the technical aspects of managing a non-profit 501(c)(3) organization and solicit guidance from experts as required. Clearly understand the educational mission of the organization and continuously work to promote the LAF, its mission, and the achievement of LAF’s goals. A strong knowledge of Lakewood High School, the Lakewood City Schools and the Lakewood community is preferred.

Other requirements: Strong written and oral communication skills and the ability to develop working relationships with alumni groups, the Lakewood City School district, community organizations, and the public in general. Ability to lead and direct fundraising activities in cooperation with the LAF Development Director. In addition, proven organizational, administrative, supervisory, and financial management skills are required. Must be able to work in a fast-paced office with minimal support. Includes occasional travel and ability to work on weekends and/or evenings as needed

Equipment, computers, and/or machinery the candidate is required to operate: Proficiency in WORD, Excel, and PowerPoint software programs; donor database management; web-based communications and social media outlets such as Facebook and Constant Contact; website maintenance using WordPress.

3. Preferred candidates will have a strong familiarity with the Lakewood City Schools, as demonstrated through being an alumna/alumnus of Lakewood High School, a former Lakewood City Schools staff member, a Lakewood resident, or someone with extensive volunteer/committee experience.

4. Physical Demands Analysis and Special Working Conditions: Sitting, standing, walking, speaking and hearing. The employee must occasionally lift and/or move up to 25 pounds.
