DIRECTOR OF FINANCE AND ADMINISTRATION

 

KEY ACCOUNTABILITY STATEMENT 

The Director of Finance and Administration will be a strategic thought-partner and report to the Chief Operating Officer (COO). The successful candidate will be a hands-on, participative manager, and will lead the following functions in the organization: finance, business planning and budgeting, human resources, administration and IT.

The Director of Finance and Administration will work with the COO to formulate and implement policies to create internal structures and systems that streamline the operations of a rapidly growing organization. He/she will manage financial and operational activities to ensure that the office functions efficiently and effectively.

KEY RESPONSIBILITIES 

FINANCIAL MANAGEMENT

 Maintain, evaluate, and refine financial operations of the organization and lead all day-to-day accounting operations; have functional responsibility over accounting, accounts payable, accounts receivable, and payroll;

 Produce the general ledger, monthly close and accurate monthly financial statements;

 Prepare all bank reconciliations;

 Oversee and lead annual budget planning/development process in collaboration with Senior Leadership, aligning budget with organizational goals;

 Coordinate and lead annual audit process;

 Oversee cash management, including developing policies aligned with the size and scale of operations, managing cash flow on a short and long term horizon through regular projection reports;

 Remain up to date on nonprofit audit best practices, state and federal law regarding nonprofit operations;

 Oversee the preparation and assure the timely completion of all required tax returns. Including Forms W–2, 1099 and 990, as well as other financial compliance documents;

 Monitor progress and changes and keep Senior Leadership team abreast of the organization’s financial status;

 Ensure documentation, implementation and adherence of accounting, internal controls and contract management policies and procedures.

 

HUMAN RESOURCES

 Maintain, evaluate and refine human resources administrative systems, enhancing professional development, compensation and benefits, performance evaluation, training and recruiting;

 Maintain personnel files and update employee handbook as needed;

 Works with the insurance brokers to maintain responsible levels of insurance coverage, as well as accounting for and allocating insurance costs to projects and other functional areas of the organization.

 

INFORMATION TECHNOLOGY

 Ensure the efficient operation of the organization’s computer network, servers, databases, communications systems and office equipment infrastructure;

 CRM – Salesforce database administrator.

 

QUALIFICATIONS

 Bachelor's degree with emphasis in accounting, business administration, and/or finance, or related field. Professional financial certification such as CPA, CMA, or MBA preferred

 Minimum of 5-7 years of professional experience in a finance and administration leadership role in the non-profit sector

 Ability to develop and implement accounting processes including general ledger, balance sheet reconcilement and internal controls; experience and ability to develop new financial management tools and reports

 Demonstrated understanding of employment law, and human resources programs and processes

 Experience with both Mac and PC office environments

 Experience with Quickbooks and Salesforce CRM preferred

 Superior organizational, written and oral communication skills

 Self-motivated with excellent interpersonal skills, upbeat attitude and sense of humor
