Billing Specialist & Office Manager, Mental Health

The Billing Specialist / Office Manager will oversee all billing and support operations of an Article 31 mental health clinic which serves a diverse population located in Brooklyn.

  • Review monthly encounter data to determine readiness for review by Quality Assurance (QA) and for submission to SUS third party billing vendor
  • When as required follow-up on corrective actions needed working in conjunction with the Clinic Supervisor and QA
  • Work with IT to ensure that health record system and third party billing system interface correctly
  • Work with third party billing vendor to ensure that necessary reports are set up for regular running
  • Review monthly billing tracker report from SUS billing vendor and make corrections in SUS Electronic Health Record (E.H.R.) system if / as required
  • Insure that reimbursement is received from Medicaid, Medicare and Managed Care Organizations (MCO’s) timely
  • Reconcile monthly billing to corresponding remittance payments
  • Update cash receipts journal and process corresponding receivable credits and cash revenues
  • Prepare and make bank deposits
  • Perform data entry and prepare Excel Reports
  • Perform account receivable transaction processing tasks including cash receipts postings to related subsidiary and control account ledger
  • Analyze and prepare related reports as called upon
  • Prepare on a monthly basis assorted report on the financial performance of the clinic
  • Maintain accounting record files as directed
  • Work closely with the Clinic billing Supervisor, Fiscal, IT and QA on clinic billing matters
  • Ensure clinic records and related materials are accurately filed
  • Strong knowledge of Medicaid, Medicare and Managed Care Billing;
  • Strong supervisor skills to oversee Clinic Scheduling;
  • Ability to multi-task and work as a member of an interdisciplinary team in a highly dynamic environment;
  • Strong interpersonal, written and oral skills;

Job Requirements

  • Strong computer skills and familiarity with Electronic Health Records a plus
  • High degree of comfort interacting with mental health consumers
  • Minimum of a high school diploma and 3 years professional experience as a Billing Specialist in a mental health or health clinic;
  • A certificate in Medical billing from an accredited school or community college strongly desired
  • Bilingual ability in Spanish preferred
