Student Employee Guidelines

Students with Federal Work Study Awards have been identified as our most needy students through the Financial Aid Application process and should therefore receive priority consideration in all filling student positions on campus. All jobs for students must be posted through the Financial Aid Office so that students with awards are aware of all available jobs.

Occasionally, offices and departments may not find a student with the specific skills and availability for a critical position.* In these cases, it may be appropriate to request consideration for hiring a student that does not have a Federal Work Study Award. If approved, the student employee would be paid out of the Center Budget instead of out of the Federal Work Study Budget.

* Because the ANE Non-FWS budget is limited, offices/departments should only consider hiring Non-FWS for critical positions.

In order to preserve our priority commitment to hire students with Federal Work Study Awards, ANE offices/departments are asked to follow the process below for all positions for which they wish to hire a student.

All jobs must be advertised
All positions for students must be posted on the Financial Aid Section of the ANE web site. Supervisors should submit their positions for approval online. Positions that have been approved by the Financial Aid Office will be posted at the above site.

Three week posting required
If, after 3 weeks of being posted as a FWS position, the job is unfilled because no student with the necessary availability and/or skills has applied, the position can be submitted for consideration as a Non-FWS position. Supervisors may submit their requests for NON-FWS positions to the Financial Aid Office. Once the Financial Aid Office determines that the position was appropriately posted on the FWS site, the request will be forwarded to Human Resources where it will be considered on a funds available basis. The supervisor will be notified if the position can be approved NON-FWS. This process must take place before a position is offered to a student without a FWS award.

Student Work Agreements
Once the office/department has identified a qualified student for an approved NON-FWS position, a student work agreement should be completed and forwarded to the Financial Aid Office. The Financial Aid Office will contact the student to complete additional paperwork which is required of all student employees.

When you’ll know the student can work
Financial Aid will send a supervisor First Class confirmation when a NON-FWS position is approved and all student employment paperwork is complete. No student should begin working in a position until this process is complete.
